PROMOTER #
The Promoter is responsible for presenting the event in accordance with the Electrathon America Rules and for recognizing Electrathon as a distinctive and well-defined class of electric vehicle competition in the United States.
The Promoter should support the educational mission of Electrathon by promoting a positive experience for participants and the public and increasing awareness of alternative electric vehicles.
EVENT COORDINATOR (MAY BE PROMOTER) #
The Event Coordinator serves as the primary contact between Electrathon America and the Host Organization presenting the event. The Event Coordinator is responsible for coordinating the conditions of the event, including:
- Location within the host site
- Event schedule and times
- Prize money, if available
- Course size and configuration
- Electrical power
- Barricades and other course equipment
- Support vehicle access
- Other site requirements
The Event Coordinator shall verify that all drivers and vehicles have current Electrathon America Membership.
The Event Coordinator may also serve as the Event Steward, provided the Coordinator does not have a vehicle entered in the event. If the Event Coordinator has a vehicle entered in the event, the Coordinator may participate as a driver but shall appoint an independent Event Steward who has no vehicle entered in the event.
EVENT STEWARD (MAY BE EVENT COORDINATOR) #
The Event Steward is responsible for the competition itself and has final authority over event procedures, competitor conduct, and the application of the Electrathon America Rules. The Event Steward shall:
- Conduct or supervise vehicle inspections.
- Assign race volunteers.
- Conduct the Driver and Track Personnel Meeting before the race.
- Supervise the competition.
- Serve as the Flagman or appoint a Flagman to act under the Steward’s direction.
- Verify lap totals and scoring.
- Resolve protests and disputes arising during the event.
The Event Steward shall observe the competition, the conduct of competitors, and the condition of vehicles throughout the event.
The Event Steward should be experienced with Electrathon events and should not have a vehicle entered in the event they steward.
Protests that cannot be resolved by the Event Steward may be submitted to the Electrathon America Rules Committee.
INSPECTORS #
Persons knowledgeable about the Electrathon Vehicle Design Rules and electric vehicle construction may be appointed as Inspectors.
Inspectors shall examine each vehicle for compliance with the Vehicle Design Rules, with particular emphasis on safety.
Inspectors shall use their best judgment when determining compliance with the rules. Any dispute regarding an inspection decision shall be referred to the Event Steward for resolution.
COURSE MARSHALS #
Course Marshals are assigned to specific positions around the track and are responsible for maintaining safe conditions for competitors. They may be issued a yellow caution flag, blue with yellow stripe passing flag, or whistle.Course Marshal responsibilities include:
- Warning approaching drivers of obstructions or hazards on the track, including disabled vehicles or accidents.
- Assisting drivers who are in distress.
- Keeping spectators off the track and away from dangerous areas.
- Informing the Event Steward or Flagman of hazardous conditions.
Communication between the Event Steward, Flagman, and Course Marshals shall be provided in accordance with the Race Personnel Communication requirements.
ANNOUNCER #
The Announcer should be familiar with Electrathon vehicles, the competing vehicles, and driver names. The Announcer helps spectators understand and follow the competition, generates interest in Electrathon, and creates an engaging experience for the audience. The Announcer should provide appropriate humor, insight, and entertainment throughout the event.
TIMER #
The Timer shall start the official race clock when the green flag is displayed and shall continue the clock unless the Event Steward stops the competition.
The Timer shall have a backup watch running in case of failure of the primary clock.
The Timer shall inform the Event Steward of important time intervals and shall use a whistle and verbal announcement to signal each 10-minute interval of the competition. The Timer shall also signal and announce 59:00, 60:00, and 62:00.
ADDITIONAL VOLUNTEERS #
Additional volunteers may be assigned duties as needed, including parking, registration, concessions, information booths, admissions, photography, and other event support.
