Electrathon America (“we,” “us,” or “our”) is a 501(c)(3) nonprofit sanctioning body for affordable electric-vehicle racing. This Privacy Policy explains what information we collect through electrathonamerica.org, why we collect it, how long we keep it, how we share it, and the rights you have — including rights specific to California residents.

Information We Collect

We collect information you provide directly when you use the following features on our website:

Race Registration. School or organization name, team name, advisor or team lead name, email address, telephone number (optional), state, the number of vehicles being registered, and the car number(s) assigned to you. Registration includes a paid team membership; payment is processed by PayPal (see “Payment Processing”). We do not collect or store your full payment card or PayPal account credentials.

Donations. When you donate, the gift is processed by Donorbox. You may provide your donation amount, whether the gift is one-time or recurring, an optional dedication in honor or memory of someone, and an optional comment, along with the name, email, and payment details required to complete the gift. Donorbox processes this information under its own privacy policy (see “Payment Processing”).

Sponsorship & Donation Interest Forms. The area of interest you select, company or organization name, contact person, email address, and any optional message.

Event Hosting Interest Form. Your name, organization, email address, city and state, and the venue details you provide.

Contact Form. Your name, email address, the topic you select, and any information in your message.

Newsletter Sign-Up. Your email address.

Automatically collected. If analytics or cookies are enabled on our site, we may collect basic usage information such as pages visited and general device/browser details. See “Cookies & Analytics.”

Categories of Personal Information (California)

For California residents, the following describes the categories of personal information we collect, examples of each, and the sources. We collect these categories for the business and operational purposes described in “How We Use Your Information,” and we disclose them to the categories of third parties described in “How We Share Your Information.”

We do not sell your personal information and do not share it for cross-context behavioral advertising. We do not knowingly collect or process sensitive personal information for the purpose of inferring characteristics about you.

How We Use Your Information

We use the information we collect to:

  • Process race registrations, assign and reserve car numbers, and send registration confirmations and certificates
  • Process donations and send donation acknowledgments and receipts
  • Communicate with participants, advisors, and team leads about events, including liability-waiver requirements
  • Respond to inquiries submitted through our contact form
  • Manage sponsorship, donation, and event-hosting relationships
  • Send newsletters and organizational updates to subscribers
  • Operate, maintain, secure, and improve our programs and website, and comply with legal obligations

Payment Processing

Registration payments are handled by PayPal, and donations are handled by Donorbox. Your payment information is collected and processed directly by these providers under their own privacy policies. We receive confirmation of the transaction and related details (such as donation amount and any dedication or comment you included), but we do not receive or store your full card number or payment-account login credentials.

Cookies & Analytics

Our website uses cookies and similar technologies to operate the site and understand how it is used. We use Google Analytics, a service provided by Google, to collect information such as the pages you visit, general device and browser details, and approximate location derived from your IP address. Google Analytics uses cookies and a pseudonymous identifier to recognize returning visitors; it does not collect your name or contact details through this process.

Information collected by Google Analytics is processed under Google’s privacy policy, available at policies.google.com/privacy. You can opt out of Google Analytics across websites by installing Google’s browser add-on at tools.google.com/dlpage/gaoptout, or by adjusting the cookie and tracking settings in your browser. We do not use analytics data to build advertising profiles, and we do not sell your personal information.

How Long We Keep Your Information

We keep personal information only as long as necessary for the purposes described in this policy and to meet our operational, legal, and nonprofit recordkeeping obligations. The criteria we use are:

How We Share Your Information

We do not sell your personal information. We share it only:

  • With service providers who help us operate — including website hosting, email and newsletter delivery, customer-relationship management, payment processing (PayPal), and donation processing (Donorbox) — who are bound by contract to use it only to provide services to us and not for their own purposes
  • When required by law or to protect the rights, safety, or property of Electrathon America, our participants, or others

Participants who are minors: We do not publicly share or sell the personal contact information of individual student participants. Information made public is limited to non-sensitive details such as team names, car numbers, and results.

Information from Minors

Our programs serve high school and vocational students, some of whom are minors. Registration information is typically submitted by an advisor, team lead, or parent/guardian rather than by a student directly, and all drivers and crew — including minors, who require a parent/guardian signature — must complete a liability waiver before competing.

We do not knowingly collect personal information directly from children under 13. We also do not sell or share the personal information of any individual we know to be under 16. If you believe a child under 13 has provided us personal information, please contact us and we will delete it.

Your Privacy Rights

Depending on where you live, you may have some or all of the following rights regarding your personal information:

  • Right to know / access — request the categories and specific pieces of personal information we have collected about you
  • Right to delete — request that we delete personal information we collected from you, subject to legal exceptions
  • Right to correct — request correction of inaccurate personal information
  • Right to opt out — opt out of the sale or sharing of personal information (note: we do not sell or share)
  • Right to non-discrimination — you will not receive discriminatory treatment for exercising these rights
  • Unsubscribe — opt out of our newsletter at any time using the link in any email

How to submit a request

You can submit a privacy request by emailing us at support@electrathonamerica.org or by using the contact form on our website. We will verify your request by confirming information we already hold about you.

Authorized agents

You may use an authorized agent to submit a request on your behalf. We may require the agent to provide proof that you gave them written permission to act for you, and we may ask you to verify your identity with us directly. A parent or legal guardian may submit a request on behalf of a minor child.

How we respond and when

We will confirm receipt of your request within 10 business days and respond substantively within 45 calendar days. If we need more time, we may extend by an additional 45 days and will notify you of the extension and the reason. There is no charge for responding to a verifiable request unless it is excessive or repetitive.

California Shine the Light

California’s “Shine the Light” law lets California residents request information about disclosures of personal information to third parties for those third parties’ direct marketing purposes. We do not disclose personal information to third parties for their own direct marketing.

Data Security

We take reasonable measures to protect the information we collect. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with a revised “Last updated” date.
